Terms of use

MEDSPACE Terms of use

Version: v1.0
Date of publication: 14.10.2026
Effective date: 14.10.2026

1. Purpose and scope

MEDSPACE is the digital community and collaboration platform of the MEDViEW project, funded by the European Union under the Horizon Europe programme under Grant Agreement No. 101217136.

MEDSPACE provides public access to MEDViEW information, project results, publications, learning resources, news, events and community content. It also enables registered users, depending on their assigned role, to create a profile, join communities, publish or upload content and participate in discussions.

These Terms of Use govern access to and use of MEDSPACE by visitors and registered users. By creating an account or using functions available only to registered users, users confirm that they have read, understood and accepted these Terms.

The MEDSPACE Privacy Policy and Cookie Policy form part of the legal and informational framework governing use of the platform.

2. Platform Operator

MEDSPACE is operated by:

Netcompany S.A.
Rue Nicolas Bove 2B, 1253, Luxemburg
Email: information@netcompany.com & ridlux@netcompany.com

NETCOMPANY SA, formerly Netcompany-Intrasoft, is responsible for the technical development, hosting, maintenance and administration of MEDSPACE on behalf of the MEDViEW project.

References in these Terms to “MEDSPACE”, “we”, “us” or “our” refer to the responsible platform operator and, where applicable, the authorised organisations involved in MEDSPACE administration.

3. Categories of users

MEDSPACE supports the following user categories:

  • MEDSPACE administrators: authorised NETCOMPANY personnel with technical and administrative access to the platform.
  • MEDViEW consortium users: authorised representatives of consortium partners who may create, upload, edit and manage content relating to their assigned areas.
  • Registered community users: researchers, healthcare professionals, medical practitioners and other stakeholders who may create profiles, join communities and submit comments or other permitted contributions.
  • Visitors: users who access publicly available MEDSPACE material without creating an account.

Functions, access rights and publishing permissions differ according to the assigned user category. Access to a function does not grant a user any ownership right over MEDSPACE or its content.

4. Eligibility and minimum age

MEDSPACE is intended primarily for adult researchers, healthcare professionals, practitioners, representatives of organisations and other adult stakeholders.

Users must be at least 18 years old to create an account. By registering, users confirm that they meet the applicable minimum-age requirement and have the legal capacity to accept these Terms.

MEDSPACE may request reasonable information to verify a user’s identity, professional affiliation, consortium role or eligibility for a specific account type.

5. Account registration

Certain MEDSPACE functions require registration. Users must:

  • provide accurate, current and complete information
  • keep their account information up to date
  • create only one personal account unless additional accounts have been expressly authorised
  • not create an account using another person’s identity
  • not misrepresent their professional qualifications, organisation or project role;
  • protect their login credentials against unauthorised use
  • notify MEDSPACE promptly if they suspect unauthorised access to their account

Accounts are personal and may not be sold, transferred or shared with another person.

MEDSPACE may reject, restrict or revoke an account where the information provided is false, incomplete or misleading, or where the account presents a security or compliance risk.

6. Public nature of MEDSPACE

Most MEDSPACE content is publicly accessible. Information published by registered users, including comments, articles, event information and uploaded materials, may be viewed without registration.

Depending on the profile settings, a user’s name, username, organisation, professional role, photograph and other selected profile information may appear together with their contributions.

Publicly available information may:

  • be indexed by search engines
  • be copied or quoted by third parties
  • be shared through social media or other websites
  • remain temporarily available in search-engine caches after removal from MEDSPACE

Users must review their content carefully before publication and must not publish information they wish to keep private or confidential.

7. Permitted use

Users may use MEDSPACE for lawful activities connected with:

  • learning and knowledge exchange
  • research and scientific communication
  • professional and community discussions
  • MEDViEW communication and dissemination
  • promotion of project activities and results
  • publication of relevant events, resources and opportunities
  • collaboration between researchers, practitioners and other stakeholders

Use of MEDSPACE must remain consistent with its research, educational, community-building and knowledge-valorisation purposes.

8. Prohibited use

Users must not use MEDSPACE to:

  • violate applicable law or the rights of another person
  • upload patient records or identifiable health information
  • disclose another person’s personal data without an appropriate legal basis and authority
  • disclose confidential, restricted or commercially sensitive information
  • publish unlawful, defamatory, threatening, abusive, discriminatory or hateful content
  • harass, intimidate or target another user
  • impersonate another person or organisation
  • misrepresent professional qualifications, expertise or institutional affiliation
  • publish intentionally false or misleading medical or scientific claims
  • provide individual diagnoses or present comments as personalised medical treatment
  • infringe copyright, trademarks, database rights or other intellectual-property rights
  • distribute spam, unauthorised advertising or irrelevant promotional material
  • upload malware or malicious code
  • attempt to obtain unauthorised access to accounts, systems or data
  • interfere with MEDSPACE’s security, availability or performance
  • use automated tools to extract or reproduce substantial amounts of MEDSPACE content without prior permission
  • use MEDSPACE content or user data for unauthorised profiling, surveillance or commercial solicitation

MEDSPACE may take appropriate action where these rules are breached.

9. Health and Personal Data

MEDSPACE provides information and supports discussions relating to health, well-being, medical research and healthcare practice. It is not intended to store patient records or identifiable clinical information.

Users must not include in profiles, comments, uploads or other contributions:

  • patient names or contact details
  • medical records or clinical files
  • images identifying a patient
  • identifiable information concerning a person’s health
  • genetic or biometric information
  • information about another person’s health without lawful authority

Users are strongly advised not to disclose their own detailed health information in publicly accessible areas.

Where users refer to professional or research cases, they must ensure that the information has been properly anonymised and cannot reasonably be connected to an identifiable individual.

10. Medical and Scientific Disclaimer

Content available through MEDSPACE is provided for general educational, research and informational purposes only.

MEDSPACE content does not constitute medical advice, diagnosis, treatment or an individual clinical recommendation. It must not be used as a substitute for consultation with a qualified healthcare professional.

Users should not disregard, avoid or delay seeking professional medical advice because of information accessed through MEDSPACE.

MEDSPACE does not provide emergency medical services. In a medical emergency, users should contact the appropriate national emergency service.

Although reasonable efforts may be made to support the accuracy and quality of published material, MEDSPACE does not guarantee that all information is complete, current, error-free or suitable for a particular medical, scientific or professional purpose.

The opinions expressed in user contributions belong to their respective authors and do not necessarily represent the position of MEDSPACE, the MEDViEW consortium, the European Union or the granting authority.

11. User-generated content

MEDSPACE does not integrate AI-powered tools for content generation or automated moderation but may use AI tools for the creation of visual content (e.g., images, icons). Users are responsible for content they submit, upload or publish through MEDSPACE.

Before submitting content, users must ensure that:

  • the content is accurate to the best of their knowledge
  • they have the necessary rights and permissions
  • publication does not violate confidentiality obligations
  • the content does not contain unlawfully disclosed personal data
  • appropriate permission has been obtained from identifiable persons appearing in images or recordings
  • sources and authors are appropriately acknowledged
  • the content complies with these Terms and the MEDSPACE Community Guidelines

MEDSPACE does not endorse user-generated content merely because it is published on the platform. The user remains solely responsible for the accuracy, legality, and origin of any AI-generated content they publish.

12. Intellectual Property Rights

Unless otherwise indicated, MEDSPACE’s design, structure, branding, software, text, graphics and platform-generated materials are owned by or licensed to the MEDViEW consortium, the relevant consortium partner or the respective rights holder.

MEDViEW project outputs may be made available under specific open-access or Creative Commons licences. Where a licence is displayed with an item, reuse is governed by that licence.

Users retain ownership of the original content they submit to MEDSPACE.

By publishing content, users grant the MEDSPACE operator and the MEDViEW consortium a non-exclusive, royalty-free licence to host, store, reproduce, display, format and make the content publicly available through MEDSPACE. This licence is limited to operating, maintaining, promoting and preserving MEDSPACE and communicating MEDViEW-related activities and results.

The licence applies for as long as the content remains published on MEDSPACE. Content may remain in backups or archives for a limited period after removal.

Users confirm that they have the right to grant this licence and that MEDSPACE’s permitted use of their content will not infringe third-party rights.

13. Consortium Content Management

Authorised MEDViEW consortium users may create and manage content related to the activities and thematic areas assigned to their organisation.

Consortium users must:

  • publish only information suitable for public dissemination
  • respect the MEDViEW Grant Agreement and Consortium Agreement
  • respect applicable confidentiality, intellectual-property and data-protection obligations
  • obtain any necessary internal approvals before publication
  • ensure that sensitive or restricted project information is not disclosed
  • keep published information reasonably accurate and up to date

Administrative or editorial access does not authorise a consortium user to modify content belonging to another partner unless this is necessary for platform administration or has been agreed with the relevant partner.

14. Content moderation

MEDSPACE may review, restrict, edit, unpublish or remove content where reasonably necessary to:

  • enforce these Terms or the Community Guidelines
  • protect personal data or confidential information
  • address copyright or intellectual-property concerns
  • respond to a user or third-party report
  • prevent unlawful, harmful, misleading or abusive content
  • protect users and platform security
  • comply with a legal obligation or lawful authority request
  • maintain the relevance and quality of MEDSPACE content

Where appropriate, the affected user will be informed of the moderation action and the principal reason for the decision.

MEDSPACE is not required to pre-approve every contribution before publication. The absence of prior review does not affect the author’s responsibility for the content.

15. Reporting content

Users and third parties may report content that they believe is:

  • unlawful
  • harmful or abusive
  • inaccurate in a way that may create a significant health or safety risk
  • an infringement of intellectual-property rights
  • an unauthorised disclosure of personal or confidential information
  • contrary to these Terms or the Community Guidelines

Reports may be submitted through the “Report content” function or by contacting ridlux@netcompany.com.

A report should identify the relevant content, explain the reason for the report and provide sufficient information to support an assessment.

MEDSPACE may request additional information and may preserve relevant records while the matter is reviewed. Knowingly submitting false, abusive or misleading reports may constitute a breach of these Terms.

16. Account restriction, suspension and termination

MEDSPACE may warn a user or restrict, suspend or terminate an account where:

  • these Terms or the Community Guidelines have been violated
  • the account contains false or misleading information
  • the account has been compromised
  • the user presents a security or legal risk
  • repeated or serious inappropriate content has been published
  • suspension or termination is required by law
  • the account has remained inactive for the period specified in the Privacy Policy

Where appropriate, MEDSPACE will consider the seriousness, frequency and consequences of the violation before taking action.

Users may request deletion of their accounts in accordance with the Privacy Policy. Account deletion may not automatically delete all previously published contributions. Content may be anonymised or retained where necessary to preserve the integrity of discussions, meet legal obligations or protect legal claims.

17. Privacy and Cookies

Personal data collected through MEDSPACE are processed in accordance with the MEDSPACE Privacy Policy.

The use of cookies and similar technologies is explained in the MEDSPACE Cookie Policy. Users may manage optional cookie preferences through the “Cookie Settings” link available on MEDSPACE.

Acceptance of these Terms must not be combined with consent to optional cookies, newsletters or promotional communications. Where consent is required, it will be requested separately.

18. Third-party websites and services

MEDSPACE may include links to third-party websites, repositories, tools or services.

These links are provided for information or convenience. MEDSPACE does not control and is not responsible for third-party content, availability, security, terms or privacy practices.

Users should review the applicable terms and policies before using a third-party service.

19. Availability and modification of MEDSPACE

MEDSPACE aims to provide reliable access but does not guarantee uninterrupted or error-free availability.

Access may be temporarily restricted for maintenance, updates, security measures, technical failures or circumstances beyond reasonable control.

MEDSPACE functions, content categories and user permissions may be modified to reflect project requirements, legal obligations, security needs, user feedback or post-project sustainability arrangements.

Reasonable notice will be provided where a material change significantly affects registered users, where practicable.

20. Limitation of liability

To the extent permitted by applicable law, MEDSPACE, its operator and the MEDViEW consortium partners will not be liable for:

  • decisions taken solely on the basis of MEDSPACE content
  • user-generated content or opinions
  • loss arising from inaccurate, incomplete or outdated third-party content
  • temporary platform unavailability
  • external websites or services
  • unauthorised reuse of publicly available user contributions by third parties
  • loss caused by a user’s failure to protect account credentials
  • indirect or consequential loss arising from use of MEDSPACE

Nothing in these Terms excludes or limits liability where exclusion or limitation is prohibited by applicable law.

21. Changes to these Terms

These Terms may be updated to reflect changes to MEDSPACE functionality, governance, legal requirements or project arrangements.

The current version and effective date will be published on MEDSPACE.

Registered users will be informed of material changes through MEDSPACE or by email where appropriate. Users may be required to accept revised Terms before continuing to use registered-user functions.

22. Governing law and jurisdiction

The above Terms shall be interpreted in accordance with the MEDViEW Consortium Agreement and Grant Agreement, and shall be governed by and construed in accordance with the laws of Belgium, excluding its conflict of law provisions.

Any dispute arising out of or relating to MEDSPACE or these Terms shall be subject to the jurisdiction of the competent courts of Brussels, unless otherwise required by applicable law.
